How Task App Works

Task App uses a mathematical priority algorithm to automatically rank your tasks by what matters most right now. It combines importance, urgency, deadline proximity, task aging, and estimated duration into a single priority score — so you always know what to work on next.

The Priority Algorithm

Every task is scored using this formula:

Score = (Importance + Urgency + Aging - Duration Penalty) × Hard Deadline Multiplier × Escalation Factor

Importance

High (3×), Medium (2×), or Low (1×) multiplied by a base score. Configurable weights in Pro.

Urgency

Overdue tasks score highest and grow daily. Future tasks decay exponentially as the due date approaches. Due-today tasks get a fixed boost.

Aging

Tasks earn priority points for every day since they were assigned. Old tasks gradually rise so nothing gets permanently buried.

Duration Penalty

Longer tasks receive a small penalty, nudging shorter quick-win tasks upward. This helps you build momentum.

Hard Deadline

Tasks flagged as hard deadlines get a 1.5× multiplier, ensuring non-negotiable items always surface.

Escalation

Manually set an escalation factor on any task to override normal ordering when you know something needs attention.

How does the priority algorithm work?

The algorithm calculates a numerical priority score for each task based on five factors: importance level (High/Medium/Low with configurable multipliers), urgency (overdue tasks score highest, with exponential decay for future due dates), task aging (older tasks gradually rise in priority), a duration penalty (shorter tasks get a slight boost to encourage quick wins), and multipliers for hard deadlines and manual escalation. The formula is: (Importance + Urgency + Aging - Duration Penalty) x Hard Deadline Multiplier x Escalation Factor. All weights are customizable in the Pro plan.

Can I use Task App without an account?

Yes. Guest mode gives you full access to task management, the priority algorithm, and all views. Your data is stored locally in your browser. Create an account when you want cloud sync across devices.

How much does Task App cost?

The Free plan includes core task management with a limit of 50 tasks and 5 projects. The Pro plan costs $2/month or $12/year and unlocks full algorithm customization plus unlimited tasks and projects.

How are location-aware suggestions different from a normal task list?

The Up Next view filters your prioritized tasks by your current location and available time. If you have 30 minutes at the office, it shows only office tasks that fit in that window — sorted by priority score. It factors in travel time between locations so you always see tasks you can realistically complete right now.

What analytics does the Overview page provide?

The Overview shows: tasks completed this week and month with week-over-week trends, overdue task counts, upcoming deadlines, total workload in hours, completion activity charts broken down by category, workload distribution pie charts, top projects by pending tasks, and weekly capacity analysis. All charts support configurable time ranges.

Does Task App work offline?

Yes. Task App is a Progressive Web App (PWA) that works offline. When you reconnect, changes sync automatically with Firestore.
